How to use CommonBoard

Everything you need to book sessions, share your availability, and coordinate with your team on one shared timeline.

Six simple steps

Follow these steps to get the most out of CommonBoard — from booking your first session to coordinating schedules across your whole team.

Browse the Timeline

Use the ← Previous and Next → navigation buttons above the calendar to move between weeks. The current week is shown by default, and today's column is highlighted in blue so you always know where you are.

Tip: On mobile, swipe left or right on the calendar to scroll through the days of the week.

Pick Your Slot

Click any white "Available" cell in the calendar grid. Each cell represents a one-hour window. Cells in the past are greyed out and cannot be selected. Cells already booked are shown in blue.

Tip: Hover over a cell to see a subtle highlight before clicking — this confirms the slot is available.

Enter Your Details

A booking form will appear. Fill in your full name and a contact email or phone number. You can also add an optional note about your session topic or purpose. Click "Book Slot" to confirm.

Tip: Your details are stored locally in your browser. They are not shared with third parties.

View or Cancel a Booking

Click any blue "Booked" cell to open the booking details panel. You can review the name, contact, note, and booking time. If plans change, click "Cancel Booking" to free up the slot for others.

Tip: Only the person who booked the slot (on the same device) will see the cancel button.

Share Your Availability

Switch to ✅ My Availability mode using the toggle above the calendar. Enter your name and click the time slots when you are free — they turn green. When finished, click 📤 Export My Availability to generate a shareable code. Send this code to your team.

Tip: Your availability is stored locally and persists between sessions on the same device.

Discover Team Overlaps

Switch to 👥 Team View mode. Click 📥 Import Team Member and paste the availability code shared by a colleague. Repeat for each team member. The calendar will highlight slots where multiple people are free using a colour heatmap — deeper green means more people available.

Tip: The legend below the calendar explains the colour scale: light green = 1 person free, dark green = 3 or more people free.

Common questions

Is my data stored on a server?

No. All bookings and availability data are stored in your browser's local storage. Nothing is sent to an external server. This means your data stays on your device.

Can I book more than one slot at a time?

Yes. Simply close the booking confirmation and click another available slot to book a second session. Each booking is independent.

What happens if I clear my browser data?

All bookings and availability records stored in local storage will be erased. We recommend exporting your availability code as a backup before clearing browser data.

How do I share availability with someone on a different device?

Export your availability code (Step 5) and send it via email, chat, or any messaging app. The recipient pastes it into Import Team Member on their device.

How many team members can I import?

There is no hard limit. You can import availability codes from as many team members as needed. The heatmap will update to reflect all imported schedules.
